Visual representation of the internal functioning is what a flow diagram is. Business interests are best protected by an open-eye approach, wherein the management keeps a close watch on the goings-on in the company. This means that what each unit is doing is known to the higher echelons.

The more informed the management, the better and more profitable the business goes on to become. However, to be in the know of things is not the only thing. One also has to be able to understand the problems faced by each unit of the company and the solutions to every problem must be promptly supplied.

The problems faced by any one unit translate into lowered efficiency, which reduces the profitability of the venture. This certainly is not acceptable. Therefore, every company needs periodical assessment of its working processes.

A proper assessment requires process mapping because unless each process is isolated and mapped, it is very difficult to understand as to which of the processes are facing the problem. Sometimes it is not one unit of the company or one process that is troubled but a few of them are facing minor troubles. And these troubles together produce bigger difficulties. In other words, the individual problems are minor but their cumulative impact is far greater.

In such a scenario, only a carefully prepared process map can be of some help. In fact, a process map would help one identify the problems clearly and analyze its cumulative effect on the business.

You would need the assistance of a professional who could prepare a process map for you based upon the information you provide to him. Ensure that whatever information is gathered about each process is provided no matter how insignificant the information appears to you in the beginning.

The information will then be processed and you would come to know where the problem lies. From there on you could work on the solutions. Over a period of time certain processes develop functional problems and there efficiency suffers. So, either measures have to be taken to make them work better or they are merged with other processes are broken into two or more processes so that different sets of action are separately performed.

Of course, segregation of the sets of action can make work efficient but may also make the organization spend its energy in administrative matters.

Process mapping is a indeed a great tool and coupled with good flow diagrams, it works even better in analyzing the process and enabling the management to chart a future course of action for the overall betterment of the company.
